Foreign Affiliations and Foreign Travel Security
Foreign Affiliation Disclosure
In accordance with Faculty Handbook, Section 13.3.A, and Emory Policy 7.7 all all individuals engaged in research, including investigators, key personnel, and other research personnel participating in the design, conduct, or reporting of research, must disclose appointments, affiliations, or positions held with non-U.S. academic, research, or other external organizations as External Activities. Individuals engaged in research must also disclose any research-related or other support received through external organizations, including but not limited to funding, salary, stipends, living expenses, travel support, honoraria, in-kind contributions, or other resources that support their research activities. Such disclosures are required to ensure transparency, compliance with sponsor requirements, and appropriate review of potential conflicts of interest, conflicts of commitment, and foreign influence considerations.

International Travel Requirements
In accordance with NSPM-33 and Emory policy 10.18, researchers traveling internationally on Emory business must disclose international travel in Insight and comply with applicable ITRIP registration requirements. Depending on the nature of the travel or activity, additional approvals or reviews may be required by the school, department, RCRA, Research Security, Export Control, or other university offices.
Additionally, RCRA has developed mandatory Research Security training including Cybersecurity & Foreign Travel Security training elements. All Covered Individuals (persons responsible for design, conduct or reporting of research) are required to complete the training to maintain compliance with federal sponsor requirements.
ITRIP and Insight Disclosure
These FAQs are intended to clarify the relationship between ITRIP registration, Insight travel disclosures, external professional activity approvals, and related research compliance reviews. ITRIP, Insight, and school or department approvals serve different institutional purposes. Completing one requirement does not replace other applicable disclosure, registration, or approval requirements.

Frequently Asked Questions
ITRIP, the International Travel Registration and Information Program, is Emory’s resource for registering university-related international travel. ITRIP supports traveler safety, emergency assistance, and international risk management. Faculty, staff, students, trainees, and others traveling internationally for Emory-sponsored activities or Emory business should review ITRIP requirements and register travel as applicable.
Yes. Researchers traveling internationally on Emory business must disclose international travel in Insight. This includes travel connected to research activities, sponsored projects, professional activities conducted on behalf of Emory, international collaborations, conferences, meetings, site visits, and other university-related business travel. These disclosures support research security, export control, conflict of interest, conflict of commitment, and sponsor compliance reviews.
Yes. ITRIP registration does not replace the requirement to disclose international travel in Insight. The systems serve different purposes: ITRIP supports travel registration, traveler safety, emergency response, travel assistance, and international risk management; Insight supports compliance-related disclosures and reviews, including research security, export control, foreign affiliations, conflict of interest/conflict of commitment, and sponsor disclosure requirements.
Researchers should disclose international travel undertaken on behalf of Emory or in connection with their Emory responsibilities. Examples include sponsored research travel, international research collaborations, conference attendance or presentations, meetings with foreign institutions, foreign collaborators or sponsors, visiting scholar or visiting faculty activities, professional society activities conducted as part of an Emory role, externally sponsored or reimbursed international travel, and international travel associated with an approved external professional activity.
Travel should be disclosed as early as possible once plans are known and before departure. For certain destinations, activities, foreign entities, or research-related circumstances, additional review may be required before travel arrangements are finalized. Early disclosure helps allow sufficient time for export control, research security, sanctions, data protection, and other compliance reviews, if needed.
Travel disclosures should include information sufficient for review, such as the purpose of the trip, destination, travel dates and duration, host institution or sponsoring organization, funding source if applicable, and any associated research, collaboration, consulting, speaking engagement, external professional activity, or other professional purpose.
External professional activities involving international travel may require multiple approvals or disclosures, depending on the activity. These may include an External Activity Request in Insight, an international travel disclosure in Insight, ITRIP registration, school or department approval, supervisor, chair, division chief, dean or other institutional approval as applicable, and RCRA review for research security, export control, sanctions, or other compliance considerations.
No. Approval of an external professional activity does not replace the requirement to disclose international travel in Insight when the activity includes international travel connected to Emory business or Emory responsibilities. Similarly, submitting a travel disclosure does not replace any required school, department, or external activity approval.
Yes. Certain destinations, organizations, or activities may require additional review due to sanctions, export control regulations, research security concerns, data security, or other institutional risk considerations. Travelers may be asked to complete additional steps, use loaner equipment, complete travel security training, or obtain approval before travel proceeds.
If you are uncertain whether a trip, collaboration, consulting arrangement, speaking engagement, foreign affiliation, sponsored travel, or other professional activity requires disclosure or approval, contact RCRA before proceeding. Early consultation can help avoid delays and ensure compliance with institutional and sponsor requirements.
